Service Policies
Reading the terms before you commit? Sensible. The short version: the cleanroom diagnosis is free, you approve one all-in price before any work, and on qualifying cases you are refunded if we fail.
Prefer to just ask? An engineer answers 24/7 and will tell you in 15 minutes whether your case qualifies, before you ship anything.
Introduction & Client Acknowledgement
These Service Policies (the “Policies”) govern all data recovery, forensic, and related services provided by Data Recovery Group Canada Inc. (“DRG”, “we”, “our”, or “us”). By submitting a device for assessment or recovery, providing verbal or written approval to commence work, or making any payment, the client (“you” or “client”) acknowledges that they have read, understood, and agree to be bound by these Policies in their entirety.
These Policies form a binding agreement between the client and Data Recovery Group Canada Inc. If you do not agree with any part of these Policies, you must not submit a device or authorize commencement of work.
Client Responsibility Policy
The client bears full responsibility for the following before engaging our services:
- Reading, understanding, and accepting all Policies on this page prior to submission of any device.
- Ensuring they are the lawful owner of the device or have explicit written authorization from the lawful owner to submit the device for recovery.
- Providing accurate information regarding the device condition, history, and any prior recovery attempts by another party.
- Disclosing whether the device has been previously opened, repaired, or subjected to recovery attempts before submission.
- Disclosing whether the device contains encrypted data prior to assessment.
- Disclosing whether the device has been dropped, exposed to fire, water, or other physical trauma.
- Not powering on a clicking drive. Clicking indicates mechanical failure: a head crash, stiction, motor or actuator damage. Each further power-on causes additional platter damage. Unplug it and call before you ship. (Clicking and dropped drives are covered by the No Data, No Charge guarantee.)
By proceeding with payment or providing verbal or written approval, the client acknowledges and accepts all terms herein as legally binding.
Assessment Policy
- Cleanroom diagnosis is free for single-device cases: hard drives, SSDs, flash, SD, microSD and USB. RAID, NAS and server cases carry a $450 CAD per-drive assessment fee, credited in full toward the recovery fee on cases that proceed.
- You pay nothing for a free diagnosis, whether or not you proceed. RAID, NAS and server assessment fees are credited in full toward the recovery fee on cases that proceed.
- Assessment results are communicated verbally by one of our qualified engineers via telephone. No written assessment report is provided under the standard assessment service tier.
- The diagnosis determines the exact failure and the price of recovery. It does not constitute a guarantee of recovery outcome. No fee is payable for a free diagnosis whether or not the client proceeds; on cases that proceed, the client approves the quoted price, pays in full and signs the work order before recovery begins.
- Data Recovery Group Canada Inc. reserves the right to decline assessment or recovery of any device at its sole discretion.
Commencement of Work Policy
Once a client provides verbal or written authorization and corresponding payment, the following terms immediately apply:
- Immediate Resource Allocation: Our engineering team immediately allocates cleanroom time, diagnostic equipment, imaging infrastructure, and dedicated engineer hours to your specific case. These resources cannot be reassigned or held once committed.
- Irreversibility of Process: Data recovery involves irreversible procedures at the firmware, electronic, and physical media level. Once initiated, the process cannot be paused, undone, or reversed regardless of outcome.
- Non-Refundable Fees: All assessment and recovery fees are non-refundable upon commencement of work. Fees cover professional labour, diagnostics, cleanroom handling, hardware usage, and secure imaging operations, not solely the recovery result.
- Limitations of Recovery: Data Recovery Group Canada Inc. employs advanced Tier 3 cleanroom technology and industry-leading tools. Recovery outcomes depend entirely on the condition and damage severity of the storage media. Our obligation is to apply the highest professional standard and deliver all recoverable data.
- Client Acknowledgement: By providing approval and/or payment, the client confirms they have reviewed and accepted all terms herein, understand that work begins immediately upon confirmation, and that refunds or cancellations are not possible once recovery has commenced.
Not sure whether this applies to your case? An engineer will tell you in 15 minutes, before you ship anything.
1-888-749-3786Forensic Policy
- Forensic services include chain of custody documentation, legal-grade evidence recovery, law enforcement support, and litigation support services.
- All forensic cases are handled under strict confidentiality. Non-Disclosure Agreements (NDAs) are available upon request and must be arranged prior to device submission.
- Chain of custody documentation must be requested and arranged prior to commencement of work.
- Data Recovery Group Canada Inc. does not provide testimony, expert witness services, or legal advice as part of standard forensic recovery services. These may be arranged separately.
- All forensic assessment and recovery fees are non-refundable regardless of outcome.
RAID Data Recovery Policy
- Data recovered from RAID systems (RAID 0, 1, 2, 5, 6, 10, or any other configuration) is provided on a new storage device. Recovery does not result in a bootable array.
- Data Recovery Group Canada Inc. recovers data from failed RAID systems. We do not rebuild RAID arrays, reinstall operating systems, or provide IT configuration or infrastructure services.
- Clients requiring array reconstruction or OS reinstallation following recovery should engage a qualified IT professional.
- RAID recovery fees are non-refundable once work has commenced.
- The No Data No Charge Guarantee applies to qualifying RAID cases. Cases involving encrypted arrays, previously opened enclosures, or other excluded conditions are not covered.
No Data No Charge Guarantee Policy
You approve the quote. We do the work. If we fail on a qualifying case, you’re refunded.
The recovery fee is paid upfront after you approve the price, and it is protected. If we can’t recover your data on qualifying cases, you get a full refund. That’s a commitment we’ve stood behind since 2009.
Data Recovery Group Canada Inc. offers a “No Data No Charge Guarantee” subject to the following qualifying conditions. Always confirm guarantee eligibility with our team before authorizing work.
Qualifying Threshold
A case is deemed a successful recovery when a minimum of 1 MB of client data is recovered from the submitted device. Upon reaching this threshold, the full recovery fee applies and is non-refundable.
Cases Not Covered by the Guarantee
The following device types and case categories are explicitly excluded from the No Data No Charge Guarantee:
If your case does not fall into any excluded category and Data Recovery Group Canada Inc. cannot recover any qualifying data, no recovery fee will be charged. Assessment fees remain non-refundable in all cases.
Not sure whether this applies to your case? An engineer will tell you in 15 minutes, before you ship anything.
1-888-749-3786Non-Refundable Policy
All fees paid to Data Recovery Group Canada Inc. (including assessment fees, recovery fees, and any ancillary service fees) are non-refundable once work has commenced, subject only to the qualifying conditions of the No Data No Charge Guarantee Policy where applicable.
This policy applies regardless of recovery outcome, client satisfaction, or any verbal representations made prior to commencement. Clients are strongly advised to review all policies carefully and confirm guarantee eligibility before authorizing any work.
Damaged Device Policy
- Recovered data is transferred to a new USB external hard drive provided by Data Recovery Group Canada Inc., available for pickup or courier delivery, or delivered by secure digital download link.
- The original damaged device (including hard drives, solid state drives, USB flash drives, microSD and other memory cards, and any other storage media submitted for recovery) is not returned to the client. The original device is securely recycled within 48 hours of client pickup confirmation, confirmed courier receipt, or issue of a download link, by physical destruction of the storage media.
Encrypted Drive Policy
This policy applies to all hard drives, SSDs, eMMC drives, and any other storage media where data has been encrypted using BitLocker, FileVault, VeraCrypt, or any other hardware or software encryption method.
- Data Recovery Group Canada Inc. recovers data in its encrypted state. We do not decrypt, bypass, or circumvent any encryption.
- The client is solely responsible for decrypting recovered data using their own encryption credentials, recovery keys, or methods.
- All encrypted drive cases are deemed successful upon delivery of the recovered encrypted data, regardless of whether the client can subsequently decrypt the content.
- Encrypted drive cases are not backed by the No Data No Charge Guarantee. All fees are non-refundable upon commencement of work.
Not sure whether this applies to your case? An engineer will tell you in 15 minutes, before you ship anything.
1-888-749-3786Fire Damage Policy
Non-Refundable Assessment Fee
A non-refundable assessment fee is required prior to any recovery attempt on fire-damaged devices. This fee covers cleanroom inspection, engineering time, and feasibility analysis and is non-refundable regardless of whether recovery proceeds.
Approval and Payment
Recovery will not commence until the client provides verbal or written approval of the estimate and full payment is received. All fees are non-refundable once recovery commences.
Recovery Timelines
Standard recovery timelines for fire-damaged devices are 14 to 30 business days. Due to the nature of fire damage, timelines may extend significantly beyond this estimate. The client agrees to allow the necessary time for thorough recovery efforts and waives any claims based solely on timeline overruns.
No Guarantee of Outcome
Due to the severe and unpredictable nature of fire damage to storage media, no guarantee can be made regarding the extent of data recovered. Partial recovery constitutes a completed case.
Additional Device & Case Policies
Previously Opened Hard Drives
Hard drives previously opened by any party (including the client, another recovery service, or a repair technician) are not covered by the No Data No Charge Guarantee. Prior opening exposes internal components to contamination and further damage. Failure to disclose prior opening may void applicable guarantee terms on otherwise qualifying cases.
End-of-Life Hard Drive Models
The following models are not covered by the No Data No Charge Guarantee due to parts unavailability and component degradation: all Maxtor series, Quantum Fireball series, and HGST models HTS72323A7, HTS725050A7, HTS721010A9, and HTS727575A9.
Mobile Phone Repair & Recovery
All mobile phone repair and data recovery cases are not covered by the No Data No Charge Guarantee. All fees are non-refundable once work has commenced.
Custom XOR Programming
All Custom XOR Programming cases are non-refundable and not covered by the No Data No Charge Guarantee. Timelines vary significantly and cannot be guaranteed.
Governing Law, Jurisdiction & Dispute Resolution
Governing Law
These Policies and any disputes arising from services provided by Data Recovery Group Canada Inc. shall be governed by and construed in accordance with the laws of the Province of Ontario, Canada, without regard to conflict of law principles.
Jurisdiction
The parties agree that the courts of the Province of Ontario shall have exclusive jurisdiction over any disputes arising from these Policies or from services rendered by Data Recovery Group Canada Inc., unless otherwise agreed in writing by both parties.
Dispute Resolution
In the event of a dispute, the client agrees to first contact Data Recovery Group Canada Inc. directly at 1-888-749-3786 or via written correspondence to allow for good-faith resolution. Disputes that cannot be resolved informally within 30 days may be referred to binding arbitration in Ontario under the Arbitration Act, 1991 (Ontario), with costs shared equally unless otherwise determined by the arbitrator.
Limitation of Liability
Data Recovery Group Canada Inc.’s total liability to the client in connection with any recovery case shall not exceed the total fees paid by the client for that specific case. Data Recovery Group Canada Inc. is not liable for any indirect, consequential, incidental, or special damages, including but not limited to loss of business, loss of profits, or loss of data beyond that already lost prior to submission.
Confidentiality
All client data and case information is handled with strict confidentiality. Client data is not accessed, viewed, shared, or reproduced beyond what is necessary to complete the recovery. Data Recovery Group Canada Inc. complies with applicable Canadian privacy legislation including PIPEDA. NDA agreements are available upon request and must be arranged prior to device submission.
Entire Agreement
These Policies constitute the entire agreement between the client and Data Recovery Group Canada Inc. with respect to the services described herein and supersede all prior written or verbal representations, estimates, invoices, promotional materials, and communications. In the event of any conflict between these Policies and any other document or communication, these Policies shall prevail.
Currency & Billing Policy
Effective May 13, 2026, all prices, fees, quotes, invoices, and payments processed by Data Recovery Group Canada Inc. are billed exclusively in Canadian Dollars (CAD). This applies to all clients regardless of country of residence, billing address, or device origin.
- Assessment fees, recovery fees, expedited service fees, return shipping fees, and any ancillary service charges are quoted and invoiced in CAD.
- Published prices: $2,500 CAD mechanical hard drive recovery, $1,500 CAD flash / SD / microSD / USB, $450 CAD per drive assessment (credited in full toward the recovery fee). RAID and forensic cases are quoted after assessment. Full price list →
- Clients located outside Canada are responsible for any currency conversion, foreign transaction fees, or exchange rate differences imposed by their bank, credit card issuer, or payment provider.
- Data Recovery Group Canada Inc. does not absorb, refund, or adjust for currency conversion costs or fluctuations in foreign exchange rates.
- Quotes provided in CAD remain valid for the period stated by our engineering team. The CAD amount on the invoice is the amount due, the equivalent in the client’s local currency may vary at the time of payment based on prevailing exchange rates.
- Quotes issued in USD prior to May 13, 2026 will be honored in USD through their stated validity period. All quotes issued on or after May 13, 2026 will be in CAD.
Return of Devices on Declined Cases
This policy applies where a client receives the free cleanroom diagnosis and then decides not to proceed with the recovery. Nothing is charged for the diagnosis itself in these circumstances.
- Inbound shipping to our lab is free in all cases, whether or not the client proceeds. Data Recovery Group Canada Inc. pays for the prepaid UPS Express label and the device is insured in transit.
- Return of the original device is at the client’s choice and the client’s expense. Three options are available:
- Collect from the lab — no charge. Devices may be collected in person from 341 Talbot Street, London, Ontario during business hours, at no cost.
- Client’s own courier — no charge from us. The client may arrange and pay for a courier of their choosing.
- UPS Express return — payable by the client. Data Recovery Group Canada Inc. will return the device by insured UPS Express. The exact return shipping cost is quoted to the client on the diagnosis call and is payable before the device is dispatched.
- Return shipping is free only where the recovery proceeds. On a completed recovery the recovered data is delivered on a new drive at no additional shipping cost, as provided in Policy 09.
- Uncollected devices. Devices not collected, and for which no return has been arranged and paid, within 60 days of the diagnosis call may be securely destroyed in accordance with Policy 09. We will attempt to contact the client at the telephone number and email address on file before doing so.
Why this policy exists. The cleanroom diagnosis is genuinely free and inbound shipping is genuinely free, and we would rather keep both that way than build their cost into every recovery price. Where a client decides not to proceed, the return leg is the one cost we ask them to carry. It is stated here, on our pricing page and on the case submission form, so it is never a surprise. If you are unsure, ask on the first call: 1-888-749-3786.
Version History & Effective Dates
Every change to these Policies is dated and recorded here. A case is governed by the version in effect on the date the client authorized commencement of work. Changes are not applied retroactively, in either direction.
Current policy — Version 3.0, effective 9 September 2026
Applies to every case authorized on or after 9 September 2026. What changed from the previous policy:
- Cleanroom diagnosis is now free on single-device cases: hard drives, SSD and NVMe, flash, SD, microSD and USB. The previous $450 CAD per-drive assessment fee no longer applies to these cases. The client pays nothing unless they approve a recovery price.
- RAID, NAS and server cases retain the $450 CAD per-drive assessment fee, credited in full toward the recovery fee on cases that proceed.
- Recovery prices are published and fixed: $2,500 CAD for mechanical hard drive recovery and $1,500 CAD for flash, SD, microSD, USB, SSD and NVMe. Each price includes the matched donor drive where one is required, the new drive the recovered data is returned on, and UPS Express shipping.
- Clicking hard drives and dropped hard drives are now covered by the No Data No Charge Guarantee. Both were excluded under the previous policy.
- Inbound shipping to our lab is free. Where a client declines the recovery after the free diagnosis, return of the original device is by lab pickup at no cost, a courier of the client’s own, or UPS Express return quoted on the call and payable by the client.
- The original device is not returned on cases that proceed, and is securely destroyed within 48 hours of confirmed delivery of the recovered data.
Previous policy — in effect 3 February 2009 to 8 September 2026 (superseded)
Applies to every case authorized on or before 8 September 2026. Its terms are unchanged by anything on this page. In summary, under that policy:
- A cleanroom assessment fee of $450 CAD per drive applied to every case, non-refundable in all circumstances, credited in full toward the recovery fee on cases that proceeded.
- Clicking hard drives and dropped hard drives were excluded from the No Data No Charge Guarantee.
- Recovery prices were quoted case by case after assessment rather than published.
- Amended on 13 May 2026 so that all prices, fees, quotes, invoices and payments are billed exclusively in Canadian dollars, for all clients regardless of country of residence. That amendment is part of the archived text.
Full verbatim text: archived policy, 2009 to 8 September 2026. Nothing in it has been edited.
If your case was authorized on or before 8 September 2026, the pricing and guarantee terms in the archived policy are the terms of your case. Nothing on this page changes them. If you are unsure which version applies to you, call 1-888-749-3786 with your case number and we will tell you.
Not sure whether this applies to your case? An engineer will tell you in 15 minutes, before you ship anything.
1-888-749-3786Everything you need to decide, on one screen
You are probably holding a drive with something on it you cannot replace. Here is every answer, so the only thing left to do is pick up the phone.
And on qualifying cases, if we cannot recover your data the recovery fee is refunded in full. Clicking, dropped, won't spin, not detected: all covered.
You get a specific timeline with your assessment results, before you approve anything. Cannot wait? Emergency service is +$500 CAD and keeps your case in production around the clock. Emergency service →
Every extra minute a failing drive spends powered on can turn a recoverable case into an unrecoverable one. Unplug it and pick up the phone.
What not to do, starting now
- Do not power it on again. Every spin-up of a failing drive does more damage.
- Do not put it in the freezer. That myth has cost people their data.
- Do not open it. One dust particle on an open platter ends the recovery.
- Do not run recovery software on a failing drive. It writes to the disk you are trying to save.
- Do not follow a YouTube fix, and do not let a computer shop try first. A failed attempt makes our job harder and usually voids the guarantee.
What to do instead
Unplug the device and leave it alone.
Call 1-888-749-3786. An engineer answers, 24/7.
In 15 minutes you will know whether your case is likely recoverable, what it costs, and whether it qualifies for No Data, No Charge.
We email a free UPS Express label. Insured, next-day, from any province or territory, and it costs you nothing.
Nothing is charged until you approve the price.
No Data, No Charge: which cases qualify
Clicking drives, dropped drives, drives that won't spin, drives that aren't detected: all covered. Most of what comes through our lab is. A few categories are quoted case-by-case instead, because the work is harder to guarantee: fire damage, previously-opened drives, encrypted drives, forensic cases, phones, and a short list of end-of-life models. We'll tell you which category you're in on the first call, before you ship anything, before you pay anything. Full list →
Book your device in. It takes one phone call.
1-888-749-3786Tell the engineer what happened. You will know in 15 minutes what it costs, whether it is recoverable, and what to do with the drive tonight.
